Job description

Our US Operations Headquarters in Phoenix, AZ supports a dynamic and growing team, and we’re looking for a Facility & Onboarding Manager to help create a safe, welcoming, and productive workplace for our employees. 

The Role 

As our Facility & Onboarding Manager, you’ll be the go-to person for ensuring our Phoenix office and warehouse run smoothly. Reporting into our SVP of Operations, you’ll make sure our physical work environment supports both new and existing employees, enabling them to perform at their best in a safe and efficient setting. From managing day-to-day facility operations to ensuring new employees gets onboarded correctly, you’ll play a key role in shaping a positive workplace experience. 

Key Responsibilities 

Facility Management 

  • Oversee day-to-day facility management of our Phoenix office and warehouse. 

  • Ensure compliance with safety and office policies at all times. 

  • Manage maintenance, repairs, and continuous office improvements. 

  • Maintain common areas, including break room upkeep and restocking. 

  • Oversee security access systems and conduct building safety checks. 

  • Handle reception duties and welcome visitors professionally. 

  • Support employees with workplace requests to foster a productive environment. 

Employee Onboarding 

  • Coordinate onboarding for new hires, including ordering access cards, credit cards, IT equipment, tools, and workwear. 

  • Serve as the first point of contact for facility- and office-related requests. 

Safety Management 

  • Maintain and update the Trackman Safety Manual. 

  • Lead handling of safety incidents, including coordination with insurance providers. 

  • Oversee company-wide safety training, including OSHA compliance. 

  • Act as primary contact for customer inquiries regarding safety records and initiatives. 

Facility Procurement  

  • Manage procurement of office supplies, consumables, and tools. 

  • Negotiate and oversee vendor contracts for office-related services. 

  • Track and manage budgets for all facility-related expenses. 

Job requirements

The ideal candidate meets the following requirements 

  • Proven experience in office/facility management, operations, or a similar role. 

  • Strong organizational and problem-solving skills with an eye for detail. 

  • Familiarity with OSHA standards and workplace safety requirements. 

  • Excellent communication and interpersonal skills. 

  • Ability to manage multiple priorities in a fast-paced environment. 

  • A proactive, hands-on approach with a customer-service mindset.
